PropTech Is Changing Condominium Management

PropTech, or property technology, is starting to change how condos are managed, bringing a level of visibility and control that used to be limited to large commercial portfolios.


At City Sites Property Management (CSPM), we’ve made these tools part of our everyday operations, and it’s helping our clients save both time and money.


What Is PropTech, and Why Does It Matter?

PropTech is about using digital tools to handle the day-to-day realities of property management, like sourcing reliable vendors, approving invoices, tracking maintenance, and keeping records organized and audit-ready. For condo boards and asset managers, that translates to fewer surprises, clearer insights, and less time spent buried in paperwork. 


Fixing the Vendor Problem

Ask any experienced property manager, and you’ll hear a familiar frustration. The biggest inefficiency in condo and commercial management isn’t the lack of good vendors; it’s the lack of reliable information on which vendors actually perform well. Without a clear, transparent way to compare pricing and quality, many corporations stick with the same vendors they’ve always used, even when better options might be available. 


This is the gap that VendorPM was built to close, and it is a platform CSPM has partnered with directly. Fixing the Payment Problem

The second major pain point in condominium management is one every director has felt: the cheque run. Physical cheques are slow to process, easy to lose, expensive to reissue, and increasingly a target for fraud. Cheque fraud accounted for 15 percent of all payment fraud experienced by Canadian businesses in 2024, and Canadian businesses still wrote 340 million cheques that year, according to Payments Canada data. Cheques also create an approval bottleneck any time a board member is travelling.


SparcPay was built to eliminate that bottleneck. CSPM was the first property management company in Canada to implement it. SparcPay replaces cheques with a secure digital approval process: invoices are received electronically, coded, and routed to directors, who can review, approve, or reject payments from a phone, tablet, or computer, from anywhere. Every invoice and attachment is stored digitally, creating a clean audit trail for year end reviews and reserve fund audits.


No more passing around paper, and oversight does not stop the moment a signer leaves town. Because payments are electronic and traceable, corporations also reduce their exposure to the kind of cheque fraud outlined above.
